2023-24 BOARD POSITIONS

HELP FEED COMMUNITIES AND CULTURE. CONSIDER RUNNING FOR OUR BOARD OF DIRECTORS AT THE UPCOMING AGM ON NOVEMBER 27TH, 2023 💫

We are now accepting applications for community members interested in joining our Board of Directors. Please send a brief cover letter indicating the position you would like to run for to earthmarketsociety@gmail.com. Positions up for election this year are listed below.

There are a number of positions on the Board of Directors (the Board) of the Calgary Earth Market Society (CEMS). In addition to the duties common to all directors, each board member is assigned to a specific office and set of responsibilities relevant to that position. A description of each position is listed below.


 

BOARD MEMBERS: GENERAL RESPONSIBILITIEs

  • Act in the best long-term interests of the Society

  • Be a Regular Member in good standing of CEMS (Can register at the AGM)

  • Prepare for and attend monthly Board meetings

  • Generally maintain a monthly time commitment of 10-15 hours

  • Provide input into the strategic plan and monitor the organization’s progress towards achieving established goals

OFFICER POSITIONS:

VICE-CHAIR

 In addition to the responsibilities of a Director, the office of Vice-Chair has the following duties:

  • Chairs all meetings in the absence of the Chair

  • Assists the Chair in any reasonable way to ensure the proper functioning of the organization and its services to members

  • Keeps copies of the organization’s Bylaws and the Board’s policy statements

  • Acts as a signing officer for cheques and other documents

TREASURER

 In addition to the responsibilities of a Director, the office of Treasurer has the following duties:

  • Makes sure all monies paid to the Society are recorded and deposited in the Society’s bank account and that all expenses are paid

  • Presents the audited financial statement of the Society at the Annual General Meeting

  • Provides regular reports to the Board on the financial state of the organization

  • Provides oversight for all Grant applications and expenditures, ensuring final reporting is completed

  • Oversees the organization’s bookkeeper and auditor and ensures that the financial statements are prepared annually

  • Ensures that the CRA and GST filings are complete

  • Acts as signing officer for cheques and other documents

SECRETARY

 In addition to the responsibilities of a Director, the office of Secretary has the following duties:

  • Keeps accurate minutes of meetings and records all motions and resolutions

  • Keeps contact information of all board members

  • Ensures that all records of the organization are properly maintained

  • Ensures that a record is kept of all Members of the Society and their mail and electronic mail addresses and ensures Members are notified of General Meetings

  • Files the annual return, amendments to the bylaws and other corporate documents with the Corporate Registry

  • Acts as a signing officer for cheques and other documents 

DIRECTOR OF WEB & MARKETING

The Director of Marketing and Web will take charge of crafting and executing comprehensive marketing strategies to promote the Farmers and Makers Markets. This role involves managing the Society's online presence, overseeing website development and maintenance, and implementing creative campaigns across various platforms to enhance visibility, attract vendors and patrons, and foster community engagement. The office of Director of Web & Marketing plays a pivotal role in communicating the market's unique value, showcasing its vendors, and driving sustained interest and participation.

The Director of Web & Marketing  will:

  • Attend CEMS Board meetings

  • Be responsible for developing and executing marketing and promotional strategies to attract shoppers to markets

  • Manage advertising, social media, email marketing, and other promotional efforts

  • Develop and maintain a user-friendly, updated market website

  • Regularly update content, including vendor profiles and event details

DIRECTOR OF COMMUNITY ENGAGEMENT

The Director of Community Engagement for CEMS’ Farmers and Makers Markets plays a pivotal role in fostering connections between vendors, patrons, and the broader community. Responsible for orchestrating outreach initiatives, events, and partnerships, the office of Director of Community Engagement focuses on creating a vibrant and inclusive marketplace that not only supports local businesses but also cultivates a sense of community.

The Director of Community Engagement will:

  • Attend CEMS Board meetings

  • Foster relationships with community organizations, local businesses, and schools to enhance community involvement and support

  • Meet regularly with local social service organizations in the Beltline and Sunalta to keep CEMS in the loop on local activities

DIRECTOR OF GRANTS AND SPONSORSHIP

The office of Director of Grants and Sponsorship for our local Farmers and Makers Markets is responsible for identifying and securing funding opportunities to support the organization’s growth and sustainability. This role involves researching and applying for grants, cultivating relationships with potential sponsors, and ensuring that financial partnerships align with the organization’s mission of promoting local businesses and community engagement. 

The Director of Grants and Sponsorship will:

  • Attend CEMS Board meetings

  • Research and identify potential grant opportunities from government agencies, foundations, and other funding sources to support the market's initiatives

  • Prepare and submit grant applications

  • Develop sponsorship packages and proposals, outlining the benefits and recognition sponsors will receive in return for their contributions
